Position Overview The Albanian-American Development Foundation (AADF) was created in 2009 by the Albanian-American Enterprise Fund with the support and encouragement of the United States Agency for International Development (USAID) and the United States Government. The mission of the AADF is to facilitate the development of a sustainable private-sector economy and a democratic society in Albania. DEPARTMENT: Administration / Full time Basic Purpose: The primary role of the Receptionist involves managing front desk operations, handling administrative tasks, and ensuring an effective communication within the organization as well as its partners/collaborators. Principal Responsibilities Greet and welcome visitors warmly and direct them to the appropriate staff or department; – Answer and direct incoming phone calls, emails, and inquiries to appropriate staff members; – Manage scheduling for meetings, conferences, and events; – Manage office duties, including filing paperwork, ordering supplies, photocopying, scanning, shredding documents receiving and shipping mail, and completing DHL forms for mail deliveries. Some of these tasks might require collaboration with the office’s Property Manager; – Assist with event planning tasks such as making restaurant reservations, managing invitations and guest lists, and arranging table settings; – Support the PR Manager with tasks related to company social media channels and other relevant platforms; distribution lists for events or AADF’s printed communications; – Maintain and update the protocol book as directed by the Executive Assistant; – Assist, as instructed, with tasks related to the archiving process and maintenance of the archive office; – Monthly update of the staff coupon list for taxi use; – Support the legal team by maintaining the contracts database by registering and scanning all AADF Contracts; – Other tasks required by superiors as necessary, in the area of respective expertise. Required Knowledge and Experience – At least 3 years of prior experience in a receptionist role, experience in an administrative role (or receptionist in an administrative office) is preferred. – Very strong communication skills both written and verbal (Albanian and English as mandatory languages); – Knowledge of office management, communication, and organizational skills – Proficiency in office software such as Microsoft Office Suite (Word, Excel, Outlook) – Excellent organizational and multitasking abilities. – Excellent attention to detail and accuracy; Interested candidates should send their Curriculum Vitae and fill the application form in the AADF Website.
