Data Privacy Notice and Consent to Use Job Application Data

Albanian-American Development Foundation (hereinafter referred to as "AADF" "us" "we" or "our") is committed to respecting your privacy and to complying with all applicable data protection and privacy laws.
This Data Privacy Notice (“Privacy Notice”) aims at informing you of how AADF will use the data you submit when applying for a job vacancy via our Website (“Job Application Data”).

WHAT DATA WE COLLECT AND PROCESS?
This Privacy Notice applies to the following Job Application Data you submit via our Website:
Name, surname, date of birth, email address, mobile number, LinkedIn profile (optional);
Information provided in your CV, cover letter and other submitted documents, including but not limited to education, qualifications, employment history;
Information provided in reference letters (when required). Please note that you have the obligation to obtain prior written consent from any referees to provide us their personal data.

HOW WILL WE USE YOUR JOB APPLICATION DATA?
The Job Application Data you provide will be used by AADF to assess your job application, verify the information provided, and communicate with you within the recruitment process. The Job Application Data may be used by AADF for future job opportunities, only if you have specifically given your consent for your consideration in future job opportunities.

We will not store or process any personal data we do not need to fulfill the above purposes. However, if we consider that it is necessary and reasonable to use your Job Application Data for another purpose, we will notify you and explain the legal basis which allows us to do so.

You are under no statutory or contractual obligation to provide data during the recruitment process. However, if you choose not to provide all the data that is requested by us on our call for application, please note that our ability to consider you as a candidate may be limited.

HOW WILL WE STORE YOUR JOB APPLICATION DATA?
Your Job Application Data will be stored on your application record, in HR management systems or other ICT systems (including email) and on hard copy.

WHAT ARE OUR OBLIGATIONS IN RELATION TO HOW WE PROCESS YOUR PERSONAL DATA?
When processing any of the Job Application Data, we ensure such data is:
Collected only for the purposes provided above;
Used lawfully, fairly and in a transparent way;
Kept securely.

YOUR LEGAL RIGHTS
You have the following rights in relation to the Job Application Data provided to us:
Right of access;
Right to rectification and erasure;
Right to restriction of processing;
Right to data portability;
Right to object.

DATA SHARING
We may share your Job Application Data with third parties in case the recruitment process will be followed by a recruitment agency. AADF will enter into a prior agreement with such recruitment agency for delegation of personal data processing, ensuring compliance of the recruitment agency with the legal obligations as a data processor.

HOW LONG WILL WE KEEP YOUR JOB APPLICATION DATA?
We will retain your Job Application Data for as long as is necessary to fulfil the purposes for which it was collected for.

(OPTIONAL) You agree that if your application for employment is unsuccessful, we may hold your Job Application Data for 2 (two) years after the end of the relevant recruitment process, for consideration for future employment opportunities.

If your application for employment is successful, the Job Application Data gathered during the recruitment process will be transferred to your personnel file and retained for a period of 5 (five) years after termination of your employment, in accordance with AADF personal data protection regulations.

If your application for employment is unsuccessful, the Job Application Data gathered during the recruitment process will be automatically deleted from the system and any other data storage locations 5 (five) years from completion of the employment selection process.
